POSITION DESCRIPTION: CHORUS BOOKKEEPER/ACCOUNTANT
Objective

Pacific Edge Voices (PEV) is seeking a skilled and dedicated Bookkeeper/Accountant to join our nonprofit choir organization in Berkeley, California. As a Bookkeeper/Accountant, you will play a vital role in maintaining accurate financial records, ensuring compliance with relevant regulations, and providing essential financial support to our organization.
This is a part time position, averaging 5 hours/week, but the actual distribution of time commitment varies throughout the season. PEV has no physical offices, so the Bookkeeper/Accountant will work from their own space. PEV’s mailing address, rehearsals, and meetings are in Berkeley. PEV performs in both the East Bay and San Francisco and occasionally further afield.

Principal Duties and Responsibilities
Financial Recordkeeping in QuickBooks
-Maintain accurate and up to date financial records for the nonprofit choir organization. This may require transferring QB Desktop PC files to QuickBooks online.
-Record all financial transactions, including income, expenses, invoices, and payments, in accordance with accounting principles and guidelines. This includes ticket sales, donations, collaboration fees, auction items, and credit card processing.
-Organize and maintain financial documentation, ensuring proper documentation and record retention.

Checks and Electronic Funds Transfers
-Record all checking and EFT activity.
-Create checks for payments as required, which may include venues, employees, contractors, and expense reimbursements.
-Mail or distribute checks.
-Maintain files of all payments, including payment method.

Financial Reporting and Analysis

-Monthly: Prepare financial status reports for the Board, including balance sheets (revenue and expense year--to--date), cash flow statements and cash forecast, and concert and event reports following each concert set or event.

-Fiscal Year--End: Coordinate with Treasurer to close books for the fiscal year; prepare worksheets for audit preparation; prepare federal and state reports, including:
o Annual Return of Organization Exempt from Income Tax –– Form 990
o California Exempt Organization Annual Information Return –– Form 199
o Annual Registration Renewal Fee Report –– RRF1
o Annual Non--Profit Raffle Application –– CT--NRP--1
o Annual Non--Profit Raffle Report –– CT--NRP--2
o Annual Sales Tax –– file on--line
o Biennial Statement of Information –– SI--100
o Federal and state payroll reporting; process payroll accurately and timely, including calculating wages, deductions, and taxes; ensure compliance with payroll tax regulations and reporting requirements

-Employers’ Quarterly Federal Tax –– Form 941

-Employers’ Annual Federal Unemployment Tax –– Form 940

-Quarterly Contribution Return and Report of Wages –– DE 9

-Quarterly Contribution Return and Report of Wages (Continuation) –– DE 9C
o Prepare, distribute, and file W--2s and 1099s
o Coordinate with Administrator and Treasurer to create a draft budget for the next fiscal year

-Assist in the preparation of annual budgets and financial forecasts.

-Conduct financial analysis to identify trends, variances, and potential areas for
improvement.

Workers Compensation Insurance Reporting

-Prepare semi--annual Payroll Report (online) (insurance year is 11/01/YY through 10/31/YY+1)

-Process payments quarterly (Nov, Feb, May, Aug)

-Record year--end adjustment (Nov).

-Reconcile sales tax accounts and resolve any discrepancies.
Liaison and Collaboration:

-Collaborate with the Board of Directors and other relevant personnel to provide financial information and support.

-Coordinate with external auditors, tax professionals, and regulatory bodies as required.

Schedule/Compensation
The range of hourly pay to be considered is $25--35, depending on experience and qualifications. Health care benefits are not available.

About PEV

Founded in 1980 as Pacific Mozart Ensemble (PME), Pacific Edge Voices (PEV) is a chamber--sized chorus that attracts highly skilled volunteer singers with strong and diverse artistic backgrounds. This auditioned chorus has toured in the U.S. and internationally, performing in Carnegie Hall, Cuba and Europe. Collaborations with well--known artists have included Dave Brubeck, Bobby McFerrin, Sufjan Stevens and Meredith Monk. Their recordings include a Grammy--nominated recording of Leonard Bernstein’s Mass with Kent Nagano and the Deutsches Symphonie--Orchester in Berlin (Harmonia Mundi, 2006).
In 2014, the group changed its name to Pacific Edge Voices to reflect the chorus’s distinct and longstanding practice of performing multiple musical genres across each season (traditional and contemporary choral works, world music, American music of all kinds, including jazz and pop), collaborating with diverse artists on new works, and presenting adventurous and innovative vocal music programs. The chorus is chamber--sized, with 30--40 members. The typical PEV season features at least two concert sets of contemporary and classical choral works in December and April, a fundraiser event in February/March, and a largely member--programmed a cappella Jazz & Pop concert set in June.
